Praesentia the Healthspan Institute Canada Corp., operating as Praesentia Healthspan (“Praesentia,” “we,” “us,” or “our”), respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit praesentiahealthspan.com, contact us, join our waitlist, express interest in membership, or subscribe to our marketing communications, including SMS messages.
This policy focuses on our website, inquiries, and marketing activities. Clinical care, patient records, and services such may involve additional privacy notices and consent processes. This policy does not replace those notices or authorize the use of health information for marketing.
Information you provide. We collect the information you choose to provide, such as your name, email address, telephone number, membership interests, communication preferences, and the contents of your inquiries or submissions.
Consent and communication records. We keep records of marketing permissions and withdrawals, including the date, source, and wording of consent where available. For SMS communications, we may also collect message content, delivery information, replies, and opt-out activity.
Website information. Our website may collect information about your device and how you use the site, including your IP address, browser, device type, pages visited, referring website, and visit times, through cookies, server logs, and similar technologies.
We use personal information to respond to inquiries; manage waitlist and membership interest; provide information you request; send marketing communications where we have the required consent; record and honour communication preferences; operate, secure, and improve our website; understand engagement with our content; and meet legal and recordkeeping obligations.
We collect, use, and disclose personal information with your consent or as otherwise permitted or required by applicable law. Providing a telephone number, submitting an inquiry, or agreeing to website terms does not by itself enrol you in marketing SMS messages.
Please do not send medical records, test results, payment card details, or other sensitive information through ordinary website inquiry forms, marketing email, or SMS. Contact us for the appropriate way to provide information needed for your care.
Personal health information collected in connection with clinical care is handled under applicable health privacy requirements and the relevant patient notices and consents. Marketing SMS consent does not authorize us to disclose medical records, send sensitive clinical information by text, or use health information for unrelated marketing.
Cookies and similar technologies may help the website function, remember preferences, and measure how visitors use our content. Where required, we obtain consent before using non-essential technologies. You can manage cookies through your browser settings and any cookie controls available on our website. Disabling some cookies may affect website functionality.
We disclose information only as needed for the purposes described in this policy, with your consent, or as permitted or required by law. Recipients may include service providers supporting website hosting, customer relationship management, email and SMS delivery, security, and website analytics; professional advisers assisting with legal or compliance matters; and authorities where disclosure is legally required.
We require service providers handling information on our behalf to protect it and use it only for the services they provide to us. If a merger, acquisition, or business transfer occurs, personal information may be disclosed subject to applicable law and appropriate confidentiality protections. The SMS restrictions below apply to all disclosure categories in this policy.
We use your mobile number and SMS consent information to administer the Praesentia Healthspan marketing SMS program and honour your choices. Message frequency varies. Message and data rates may apply.
We do not sell, rent, or share mobile numbers or SMS opt-in data and consent with third parties, affiliates, or non-affiliates for their own marketing or promotional purposes. SMS opt-in data and consent are shared only with aggregators and providers of text messaging services as needed to deliver and administer our SMS program.
All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, excluding aggregators and providers of the Text Message services.
Reply STOP to opt out of marketing SMS messages. Reply HELP for help, or contact us using the details below. We may send a confirmation of your opt-out and retain a limited record of your request to prevent further marketing messages unless you opt in again.
Read our Terms of Service for SMS program details.
You can unsubscribe from marketing email using the unsubscribe link in the message and from marketing SMS by replying STOP. Email and SMS preferences are managed separately. Withdrawing marketing consent does not affect your ability to inquire about or receive care.
Subject to applicable law, you may request access to or correction of your personal information, ask about how it is used or disclosed, and withdraw consent to certain uses. We may need to verify your identity before responding. Some information must be retained to meet legal, clinical, or recordkeeping obligations. We will explain any limits that apply to your request.
To exercise your rights or raise a privacy concern, contact our Privacy Contact below. You may also complain to the relevant privacy regulator, including the Office of the Privacy Commissioner of Canada or the Information and Privacy Commissioner of Ontario, as applicable.
We retain personal information only as long as needed for the purposes for which it was collected, including legal obligations, resolving disputes, and maintaining consent and suppression records. We then securely delete or de-identify it, as appropriate.
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information. No internet transmission or storage system can be guaranteed completely secure.
Our service providers may process or store information in Canada, the United States, or other countries where they operate. Information processed elsewhere may be subject to local laws and lawful access by authorities. Contact us for more information about our service providers and cross-border processing practices.
Links to third-party websites are governed by those organizations’ privacy practices. Please review their policies before providing personal information.
Our website and marketing SMS program are intended for adults. We do not knowingly collect personal information from children through these channels. If you believe a child has provided information, please contact us so we can take appropriate steps.
We may update this policy to reflect changes in our practices or legal requirements. We will post the revised policy with an updated date and provide additional notice or obtain new consent where required. A policy update does not replace consent required for a new use of information.
